Mass Notification System

The Honeoye Falls-Lima Central School District currently utilizes the ParentSquare mass notification system, which provides parent and staff notification services through phone calls, voice messages, emails, text alerts, and social media alerts. This system can be used at any time for emergency or informational purposes.

All HF-L families with students enrolled in the District are already a part of the ParentSquare system. However, the information in ParentSquare is only as good as the contact information supplied to the District in SchoolTool. Please be sure to update your contact information, as necessary, by contacting the District Registrar with any phone or email address changes. You can review your contact information at any time by logging into your SchoolTool account. However, all changes or updates must be made through the District Registrar. If you are an HF-L District staff member, please be sure to update your contact information, as necessary, by contacting the Human Resources Department by phone at 624-7181.

When receiving phone calls from the mass notification system, please note:

  • The District number (624-7000) will appear on your caller ID.

  • If the system reaches an answering machine or voicemail, it will leave a message, unless your answering machine/voicemail plays an unusually long series of beeps, answers with an unusually long message (such as music), or if the greeting on your answering machine/voicemail contains long pauses.

  • If there is no answer, the system will redial your number(s) two additional times (approximately once every 15 minutes) in an effort to reach you.

The emergency mass notification system is tested during October of each year.  Please check the District and School eNewsNotes for the exact date of the test.

Parent FAQs

QUESTION:What telephone contact information has already been added to the system?
ANSWER: The home and cell phone numbers that you provided to the District in SchoolTool for mother, father and/or legal guardian have been pre-loaded into the system. This system does not notify your work number or emergency contacts.

QUESTION: What will happen when the system is used?
ANSWER: You will receive a phone call at the home and cell phone numbers listed for mother, father, and/or legal guardian. Even after you've received the message at one phone number, the system will continue to call the remaining phone numbers. The system is unable to contact numbers requiring extensions. As many work numbers do require extensions or the call to go through a central secretary, we do not currently import work numbers into the mass notification system.

QUESTION: If I have children in more than one school, will I get repeat calls?
ANSWER: No, the system will call your pre-loaded phone numbers just once.

QUESTION: I received the call but I missed the information. What should I do?
ANSWER: While you are still on the call, you can replay the message by pressing star (*) on your phone at any time.

QUESTION: I received the call but my answering machine cut it off.  Why?
ANSWER: The system attempts to detect whether it is a live person or an answering machine that has picked up the call. In rare instances, such as when an answering machine message contains a period of silence, the system will detect an answering machine as a live person and start to deliver the message prior to the beep. Sometimes, a message is cut off by an answering machine simply because its duration is longer than the machine allows for a single message. Generally, an answering machine will cut off a message after one minute. By keeping messages under one minute, we can minimize the chances of messages not delivering in full.

QUESTION: I received the call on my cell phone but it kept looping/repeating. Why?
ANSWER:
 The system does its best to detect whether there is a live person or an answering machine picking up the call. Sometimes when there is ambient noise, the system inappropriately detects a live person as an answering machine. When this happens, it continues to wait for the answering machine's beep followed by a brief moment of silence before starting to play the message from the beginning. The parent can prevent the message from looping by minimizing background noise or pressing mute on the phone.

QUESTION: Will there be other attempts to reach me if I am unable to pick up the call?
ANSWER:
 Yes, the system will make a total of three attempts to reach you or your answering machine. If it is unable to reach you within two hours it will stop calling and list the reason the message was undeliverable.

QUESTION: Will the District continue to use other traditional means to communicate emergency and other urgent school news to parents.
ANSWER: Yes, we will continue using other traditional means to make emergency announcements, including our District ENewsNotes email notification system, District website (www.hflcsd.org), as well as radio and TV. The mass communication calling system is an extension of the traditional methods we've used that responds to the busy, mobile lifestyle of today's families.

QUESTION: I want my calls to go to two different numbers. How can I make sure they do?
ANSWER: You can do this by contacting the District Registrar at hflregistration@hflcsd.org or 624-7123.

QUESTION: My work phone requires dialing an extension. Should I include my work number on my list?
ANSWER: You should provide your work number and extension for the school, should they need to contact you. However, as many work numbers do require extensions or the call to go through a central secretary, we do not currently import work numbers into the mass notification system.

QUESTION: How do I update my information in the system?
ANSWER: To change, update, or add to your contact information in SchoolTool, please contact the District Registrar at 624-7123 or by email at hflregistration@hflcsd.org. You can add or change email addresses, in addition to phone numbers.

QUESTION: If our home phone number is protected by a privacy manager intercept program (call blocking service) will we receive school announcements?
ANSWER: Yes. The school's name and phone number will appear on your Caller ID. Our new phone system will be identified on your caller ID as "HFLCSD."

QUESTION: How can I be sure that our phone numbers will not be shared with or sold to third parties?
ANSWER: The notification vendor and its affiliates have a strict privacy policy. Your personal information is secure, and under no circumstances will your phone numbers or email addresses be shared with third parties.
